The Finnish Centre for Pensions selected Nepton Time Tracking to replace its outdated system. Thanks to mobile clockings and many other benefits, the cloud-based solution has earned the satisfaction of end users, managers and HR professionals alike.
The Finnish Centre for Pensions (ETK) is the statutory expert organisation responsible for developing the earnings-related pension system and providing shared services for the pension sector. At the beginning of 2018, ETK began searching for a new time tracking system for its more than 300 employees.
“We were using an access control system that also included time tracking functionality. That solution was reaching the end of its lifecycle, and we realised we needed a more modern service for workforce management,” says Sirkku Rekola, HR Assistant at the Finnish Centre for Pensions.
Expertise and recommendations made the difference
The Finnish Centre for Pensions’ key requirement for a new solution was that recording working hours should be easy for employees, while system administration should be smooth and straightforward for administrators.
“We wanted a single solution that would make it easy to manage both working hours and absences. We had also heard about mobile clocking and were particularly interested in that feature,” Sirkku Rekola recalls.
The Finnish Centre for Pensions compared several providers and invited them to present their solutions. Based on presentations by Nepton’s CEO and experts, the cloud-based service seemed to be an excellent fit for the organisation’s needs.
“And of course, when we heard who Nepton’s customers already were at the time, we contacted them and received plenty of positive recommendations,” says Sirkku Rekola.
Ease of use and new ways of working
When implementing Nepton Time Tracking, the Finnish Centre for Pensions also updated many of its working time management practices.
“Previously, employees would bring a paper form to their manager, and a departmental secretary would also review various details. Today, employees are responsible for ensuring that their entries are correct, after which managers approve them directly,” says Sirkku Rekola.
Previously, the organisation used separate systems for working time, absences and calendars. Time-off balances were also managed through the HR system, but today they are handled entirely within Nepton.
“We have all saved a great deal of time, and processes run much more smoothly overall,” Sirkku Rekola says with a smile.
A dedicated event type for remote work
The share of remote work has also increased year after year at the Finnish Centre for Pensions. In Nepton, remote work has been added as its own event type, making it easy to see who is working at the office and who is working remotely.
“The work of our experts is monitored from both a wellbeing and productivity perspective. Remote work offers flexibility and has brought significant benefits to wellbeing and, in its own way, also to job satisfaction,” Sirkku Rekola explains.
During the implementation project, the Finnish Centre for Pensions’ collective agreement, various event types and organisation-specific practices for absences and overtime calculations were configured in Nepton. New settings groups can also be created easily whenever needed.
